Find your way around the CRM lists

· 4:26

How the CRM's two lists work: where to get help, what a company's row and its clicks open, the Per state and Per contract tabs, filters, and the Deals list by outcome and by stage.

Transcript

The CRM has two lists: Companies and Deals. Between them, you can see how every customer and every sale is doing, and who to call next. First, where to get help. After that, the two lists, one at a time. If you're not sure what something means, press Help at the top.

A small question mark appears next to everything. Click one, and you get a short explanation. Press Help again to hide the question marks. You can also ask a question in your own words. Click the round button at the bottom right to open the AI assistant. For example: how do I add a company to the CRM?

The answer comes with buttons that take you straight to the right place. Now, the Companies list. Each row is one company, with the people who work there under its name. Clicking a company's name opens its card. Here, Amberley Solicitors. Everything about the company is here, in tabs: its deals, products, contact details, tasks and history.

Click a person's name to open their own card. Here, Kieran Okafor. The little icons next to a person show how you can reach them: phone, e-mail or LinkedIn. Click the icons to see the person's contact details. The State column tells you if a company is a prospect, a customer or inactive.

To change a company's state, click its badge and pick another. The change is saved straight away. The tabs above the list split your companies into groups. At the moment, the tabs are split by state. The number on each tab tells you how many companies are in it. Prospects are companies you're trying to sell to.

Customers already buy from you. Inactive companies are ones you don't work with any more. The switch on the left lets you split the same companies another way. Per contract splits your companies by what they've bought from you.

None means they haven't bought anything yet. One-off means they've only made one-time purchases. Retainer means they pay you regularly, every month or every year. You don't set the contract tabs yourself. They follow the products saved on each company's card.

To narrow the list down, use the boxes under the column names. For example, pick your own name under Owner to see only your accounts. Here, Daniel Reed. Clicking a tab clears the filters again. Now, the Deals list. Click Deals, next to Companies, to switch.

Here, every row is a person you're selling to, with their deals underneath. Per outcome splits the deals into three tabs: In progress, Won and Lost. The line above the table adds up these deals and what they're worth. Chase by is the day to follow up on a deal if nothing has happened. If the date is red, that day has passed.

Per stage shows where each open deal is in your sales process, with a tab for each step. Each sales process you set up is called a pipeline template. Pick the one you want to see. Here, the team's Roomwise sales. If you haven't set up a pipeline template yet, use the CRM pipeline wizard in the Menu, under Wizards, or copy one from the Community. To find one company's deals, type its name under Company and press Enter.

Companies tell you where you stand with each customer, and Deals tell you how each sale is going. The CRM button opens whichever list you used last.
